Heart to Heart Meeting Reminders for the month of November

Are you reading my newsletters? It seems that people have missed the fact that we are now meeting IN PERSON at Shawn O'Donnell's again! We started this in Oct and the attendance has been low (less than 10) so there has been plenty of space for social distancing. We can have a max of 26 people so if that ever happens, we will sit a little closer but still safely.

Another experiment we are doing this month is the option of doing a VIRTUAL meeting along with the IN PERSON meeting. We are still working out the best way to handle this and enable you to participate. Your feedback is hugely helpful.

In order to do the IN PERSON meetings, we absolutely MUST HAVE YOUR RSVP at least 24 hours in advance. If you RSVP with less notice than that, the only option for you is to order a beverage. Dinners must be prepared ahead of time so if you don't RSVP and PAY in advance, we cannot provide dinner for you.

If you show up without RSVP'ing in advance, you MUST still purchase a beverage option but instead of $5, it will now cost you $10.

Right now, there are TWO DIFFERENT EVENTS to RSVP for. The first is the IN PERSON event where you can purchase a Spotlight Table if you are a paid member and they aren't already sold out. The second event is the VIRTUAL event and you must RSVP if you want to get the Zoom link emailed to you. I have had to change how the events are set up as there are challenges with having only a certain number of Spotlight Tables sold and also to make sure we do not go over our maximum capacity at the venue.

I had to make the Spotlight Table option only available with a purchase of a dinner. If you don't or can't eat the dinner, please message me and I can refund you the difference.

The free Virtual Happy Hours continue for now. In Nov, these are happening on a Monday evening when we don't have a regular meeting. In Dec, they will be on Tuesday evening. I presume these will continue on Tuesday evenings after the new year.

I am sending out text reminders to our paid membership database. You can opt out but make sure your cell phone is entered correctly in your profile on our website. You can edit your profile on the website or through the Wild Apricot Member app.

VENUE UPDATES

Buckle in kids as we have a lot of new changes due to COVID-19 and state regulations. We will start with in-person meetings in October and that means we have to abide by the rules set in place by the venue and the state.

First of all, there will be no buffet anymore and all meals will need to be prepared ahead of time. It will be a pre-made meal service. Therefore, we will be collecting the cost of the meal when you RSVP and any food allergies/issues will need to be submitted when you RSVP. You can edit your profile on the website to include your allergies and it will auto-fill every time you RSVP.

The cost of the food is going up which is partially due to have to pre-pack everything and also I need to collect the credit card fees.

COST: Dinner+Beverage is $19 ($20 after it includes my cc fees) or Beverage Only (alcohol is extra) for $5 ($5.50 after it includes my cc fees). Both options include tax and tip!

You can get a refund if you cancel more than 24 hours in advance. If you no show or cancel the same day, there will be NO REFUNDS. Spotlight Tables are non-refundable 1 week prior unless you can find someone else to take your spot.

We are only allowed a maximum of 26 people in the meeting room. Also, we are required to keep track of everyone's contact information who attends. If you show up at the door without an RSVP, we will be required to charge you $10 for the beverage only option. There is a lot of extra work for me to register people late so there is an extra cost that I need to charge.

We must maintain a 6' distance between people AT ALL TIMES. No hugging, no gathering, no passing materials or business cards, etc. Masks must be worn AT ALL TIMES except for when you are eating/drinking.

Spotlight Tables will be FOR DISPLAY ONLY. Please be prepared to take orders online or via paper. There will be no samples or selling items directly from your table. We are trying to minimize the touching and gathering so let's get creative instead. We don't care what you do outside the venue so if you need to make a sale and deliver the item in the parking lot, so be it. Currently, the Spotlight Tables come with a dinner purchase so message me privately if you want a beverage instead. PURCHASE the table and I will refund you the difference.

We will still need at least 10 RSVPs to each meeting on our website one week prior, I don't necessarily need to cancel the meeting as we can still meet but we won't be able to afford a waitstaff person. We will need to purchase our meals/drinks upstairs and bring it downstairs for our meeting. If your meal/beverage has been pre-paid, I will need to purchase your meals.

NEW CHANGES & UPDATES

We have some changes recently so here is a quick summary of what is going on:

I decided to try out this schedule for our extra time during our meetings.

2nd Monday will be either a Leader or Member lead discussion. I will ask for your topic when you RSVP.
4th Monday will have 3 Spotlight Tables.

There will be a $5 cost to attend special meetings like our Anniversary Party, Holiday Party and when we have Speakers. If you are a paid member, your entry is free if you RSVP at least a week in advance!
Everyone MUST purchase a food and/or beverage item from the venue if you are attending our meetings. EVEN IF YOU DON'T EAT OR DRINK! ($5 minimum)
Since we are not handing out business cards at our meetings, it would be a great idea to update your profile on the website. We will be referring to our website and mobile app more so it is best to have the correct contact info. (PAID MEMBERS ONLY)

Did you know there is a mobile app that you can download and install on your phone that might make it easier for people. There are various things you can do with the app like:

Viewing/editing your profile (it will show when you are due for renewal)
Contact other members (if they made their info available to see)

ADVENTURE OUTINGS

Kim and Stephanie had a great idea to offer a fun event outside of our meetings for about $30-40 per person. The idea was to do it monthly but they don't have time to plan fun events on a regular basis for our group. They will still organize an event if they think enough people are interested. Having more people to help organize is key!

ALL OUTING EVENTS ARE ON HOLD UNTIL AFTER THE PANDEMIC.
